We process data based on contract (to deliver Services you've purchased), legitimate interest (to improve our business and secure our systems), consent (for marketing where required), and legal obligation (tax, recordkeeping).
06Client customer data
If you are our client: we operate as a data processor on your behalf. You remain the data controller for your customer lists, records, and communications. We process your customer data only to deliver the Services you've purchased.
We require clients to warrant that their lists were collected with valid consent and that their own privacy policies disclose the use of third-party service providers like us.
We do not use client customer data for our own marketing, cross-client enrichment, model training, or any purpose beyond delivering the Services. Upon termination or at your request, we return or securely delete client customer data within 30 days.
Subprocessors used for client services
Depending on your configuration, we may access your booking platform's native email tools (Mangomint, Boulevard, Aesthetic Record, Zenoti, etc.) or third-party ESPs (Klaviyo, Mailchimp). Each of these vendors has its own privacy policy governing customer data. We do not introduce additional subprocessors for client data without prior notice.
07Security
We maintain reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, disclosure, alteration, and destruction. These include encrypted data transmission (TLS), access controls, least-privilege permissions, strong password requirements, multi-factor authentication on administrative systems, and regular review of vendor security postures.
No system is perfectly secure. If you believe your interaction with us is no longer secure, please contact us immediately.
08Data retention
We retain personal information only as long as necessary to:
- Fulfill the Services and maintain our relationship with you
- Comply with tax, accounting, and legal obligations (typically 7 years for financial records)
- Resolve disputes and enforce our agreements
Upon termination of Services, marketing communications and non-essential data are deleted within 30 days on request. Financial records are retained for the period required by law.
